Special Collections and University Archives

Reading Room Policies:  Rules for Researchers

  • • Access to Special Collections and University Archives materials is by appointment only.   
  • • All Special Collections and University Archives materials are non-circulating and must only be used in the Special Collections Reading Room, under the supervision of the Special Collections staff.
  • • All researchers must provide a form of valid photographic identification (e.g., student ID, driver's license, passport.)  Students under 14 must be accompanied by a supervising adult.
  • • No food or drink are allowed in the Special Collections Reading Room.
  • • No personal belongings, including backpacks, purses, book bags, coats and notebooks, are permitted in the Special Collections Reading Room. Please leave these items for storage with the Special Collections staff. Laptop computers are permitted but scanners and digital cameras are not.
  • • The use of ink is not permitted. Pencils and note-taking paper will be provided if needed. The researcher will not make any marks or creases on Special Collections materials. Note-taking paper will not be placed upon Special Collections materials.
  • • All materials must be handled with general care and any handling instructions provided by the Special Collections staff must be followed. Do not remove any items from their protective housing. All materials must be kept in the order found. Notify Special Collections staff of any irregularities. Do not rearrange any materials.
  • • Photocopying or digital scanning of materials may be possible depending on the condition of the materials as assessed by the Head of Special Collections. Fees apply on a per image basis.
  • • Any researcher wishing to publish from Special Collections and University Archives materials agrees to obtain permission prior to publication from the Head of Special Collections and from all holders of copyright. The researcher agrees to accept full responsibility for complying with laws enacted to protect copyright and privacy rights.

Failure to follow these policies will result in loss of access to all Special Collection and University Archives materials.
